Role
The Executive Assistant (EA) will provide high-level administrative support to the SVP of Operations, ensuring efficient and effective management of the executive’s schedule, communications, and strategic initiatives. This individual will serve as a trusted partner and gatekeeper, contributing to the smooth operation of the department and serving as a liaison with internal and external stakeholders.
Key Responsibilities
––Manage and optimize complex calendars, including scheduling meetings, appointments, and travel for the SVP of Operations.
––Coordinate internal and external meetings, including preparing agendas, taking meeting minutes, and ensuring timely follow-up on action items.
––Organize domestic and international travel arrangements, including flights, hotels, ground transportation, and expense reporting.
––Support preparation of presentations, reports, spreadsheets, and other executive-level communications.
––Maintain highest levels of discretion and confidentiality in handling sensitive company and personal information.
––Act as a liaison between the SVP of Operations and other departments, business partners, and external contacts.
––Anticipate the needs of the SVP and proactively address operational and logistical issues.
––Track key project timelines and deliverables; provide administrative support to operations project teams as needed.
––Assist with special projects, event planning, and other duties as assigned.
Professional Experience/Qualifications
––Minimum 5 years of experience supporting senior executives, preferably within biotech, pharma, or healthcare industries.
––Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
––Excellent written and verbal communication skills.
––Demonstrated ability to maintain confidentiality and exercise sound judgment.
––Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with project management or collaboration tools (e.g., SharePoint, Concur, Asana) is a plus.
––Professional demeanor, strong interpersonal skills, and a proactive, can-do attitude.
