Title: Administrative Project Coordinator

Role

The Project Coordinator role is primarily focused on supporting the TG Commercialization team’s delivery of projects, contracts and overall administrative support and management of the NJ Office.  This role requires an individual who can work with minimal supervision, exhibit strong initiative and follow-up, with a focus on details. The candidate must be able to perform highly diverse, time-sensitive, and complex functions, projects, and tasks with confidentiality, discretion, and good judgment.  The candidate should also exhibit a positive work attitude, high productivity, and a collaborative approach with team members.  Project Coordinator I will report to the Executive Director of Marketing

Key Responsibilities

Contract and Coordination:

– Support the delivery of multiple workstreams initiatives for various Commercialization projects

– Manage the commercialization contracting process and drive collaboration with the Legal, Compliance and Commercialization teams

– Work with internal teams to define project scope, resource requirements and cost estimates for projects as applicable

– Work closely with cross functional teams to oversee contracting process with HCPs and market access customers from initiation to execution

– Ensure clear and timely internal and external communications regarding contracting activities

– As necessary, coordinating with HCPs or outside vendors during the contracting process in support of contract execution

– Serving as primary contact for all internal Commercial teams to support contracting needs related to promotional speaker programs, advisory boards, and consulting engagements

– Ensure adherence to all company policies and procedures related to HCP contracting

– Partner with the Law Department to address modifications to company-approved contract language

– Ensure all steps are taken to closeout project, including submitting honoraria and reimbursement expenses to Accounting

– Work with Compliance to ensure Spend Transparency is complete following an advisory board

– Work directly with Budget Coordinator to ensure invoice and spend are accurately captured

– Participate actively in the planning and execution of company meetings and events

– Provide general administrative support for the Commercialization team including but not limited to, monthly expenses, travel arrangements, calendar management

 

Office Management:

– Partner with HR to maintain office policies as necessary

– Serve as point person for maintenance, mailing, shipping, supplies and office operations and equipment for NJ based office

– Manage relationships, contract and price negotiations with vendors, service providers and landlord, and ensuring that all items are invoiced and paid on time

– Provide general support to visitors as needed

– Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office

– Responsible for developing standards and promoting activities that enhance operational procedures

– Organize orientation and training of new staff members

Professional Experience/Qualifications

– Pharmaceutical or healthcare industry experience a plus

– A minimum of 1-3 years of experience in an administrative or coordinator role a plus

– Team player with the relevant experiences in the functions above, as well as the expertise in executive support, organizational strategy, contract management and office management.

– Strong working knowledge of Microsoft Word, Excel, PowerPoint and Outlook is required

– Must possess a basic understanding of the legal and compliance environment as it relates to working with healthcare professionals and the pharmaceutical industry

Education

College Degree or Equivalent Work Experience
